These Policies & Procedures establish operational, ethical, and compliance standards across all Courageous Warrior LLC brands. They protect client confidentiality, ensure legal compliance, and maintain consistent service delivery.

For any interaction that involves the exchange of PHI (Personal Health Information), Courageous Warrior LLC uses a HIPAA-compliant platform for secure sessions, messaging, documents, forms, and HIPAA-compliant email once sessions begin. We provide coaching services only; we do not diagnose, treat, or provide therapy for mental health conditions.

What counts as PHI? “PHI (Personal Health Information)” includes any health-related details that can identify you — for example, diagnoses, treatment notes, medications, provider names, or any combination of data that could identify your health status.

• Secure (OK for PHI): Only within our HIPAA-compliant platform. You will receive access and instructions after intake. This includes the platform’s portal, in-platform messaging, document sharing, forms, and the HIPAA-compliant email we provide once sessions begin.
• Not secure (Do NOT send PHI): This website (courageouswarriorcoach.com), standard text/SMS, and emails sent to or from courageouswarriorcoach.com or unshakablevows.com. Please do not send any PHI via these methods.

All client information, including PHI, is confidential and will only be shared with client consent or as required by law (e.g., imminent risk, abuse/neglect of a minor or vulnerable adult, or a valid court order). We can work alongside a licensed mental health professional to support a client’s well-being when appropriate and with consent.

Appointments are scheduled through our official platforms. Cancellations require 24 hours’ notice unless due to emergencies. Repeated late cancellations or no-shows may result in discontinued services.

Fees and package options vary by brand and service. Current rates are published on the relevant service page for each brand. Unless otherwise stated in writing, payment is due at the time of booking or as specified in your agreement.

• Participate respectfully and arrive on time.
• Avoid unlawful, abusive, threatening, or disruptive behavior.

Courageous Warrior LLC may terminate or refuse services if conduct violates these standards.

Coaching is faith-friendly but not faith-dependent. If your personal faith supports your healing, we will integrate it respectfully. If not, your coaching remains grounded in truth, compassion, and practical tools.

Courageous Warrior LLC does not discriminate based on race, color, religion, gender, sexual orientation, gender identity, national origin, disability, or age.

We provide coaching services only and do not diagnose, treat, or provide therapy for mental health conditions. We can work alongside a licensed mental health professional to support a client’s overall well-being when appropriate. If a client’s needs are more appropriate for a licensed clinician, we may refer the client to a qualified therapist or healthcare provider.

We reserve the right to refuse or discontinue service if a client’s behavior is unlawful, abusive, threatening, outside the scope of our services, or otherwise violates these policies.

Policies and procedures are reviewed periodically and updated as needed. Any changes will be posted on this page and noted with a new “last updated” date.
